1. Our Commitment to Responsible AI


At In Cahoots Co, we use artificial intelligence (AI) to enhance our marketing creativity and streamline business automations. We are committed to using these technologies in a way that is safe, ethical, and transparent, ensuring we maintain the trust of our clients and the broader Australian community. Our approach is aligned with the AS ISO/IEC 42001:2023 international standard and the Australian Government’s Voluntary AI Safety Standard.


2. How We Use AI in Our Agency


We apply AI across two primary domains:


  • Creative & Content Production: We use generative AI to assist in drafting marketing copy, blog posts, and visual assets for social media and advertising campaigns.
  • Business Automation & Operations: We use AI-driven tools and autonomous agents to manage data pipelines, lead scoring, and routine administrative tasks within our CRM and automation platforms.


3. Our AI Software Stack


To ensure high standards of security and privacy, we only use a vetted "approved stack" of tools. Our current AI ecosystem includes:

  • Core Productivity: Google Workspace (including Gemini).
  • Frontier Models: ChatGPT (OpenAI), Claude (Anthropic), Elevenlabs and Manus AI.
  • Automation & Data: Zapier, Make.com, and Bigin CRM by Zoho.
  • Advertising Platforms: Meta Ads and Google Ads.


4. Human Oversight and Accountability


AI at In Cahoots Co is a "Human-in-the-loop" (HITL) process. This means:


  • No Unsupervised Decisions: Every AI-generated output is reviewed, edited, and verified by a qualified team member before being delivered or published.
  • Accountability: Our people remain responsible for all oversight of tasks and final decision-making. AI does not operate autonomously without clear human-defined boundaries.
  • Ethics: We do not use AI for deceptive practices or "AI washing" (exaggerating AI capabilities). We ensure all marketing claims remain truthful and substantiated.


5. Data Privacy and Sovereignty


We prioritise Australian data residency where possible to comply with the Privacy Act 1988 and APP 8 (Cross-border disclosure).


  • Local Storage: Customer data held within Bigin CRM and core Google Workspace services is stored in Australian data centres (Sydney and Melbourne regions).
  • Privacy Protections: We utilise enterprise-grade versions of AI tools where data is not used to train global models without our explicit permission.
  • Sensitive Data: We strictly prohibit the input of sensitive personal information or health data into non-compliant AI tools.


6. Your Rights and Labelling


We believe you have the right to know when you are interacting with AI-generated content.


  • Labelling: In accordance with ACCC and industry guidelines, we label AI-generated visual or textual content if its involvement materially influences your perception of the material.
  • Contestability: If an automated process has impacted a decision regarding your interaction with us, you have the right to request a human review or an explanation of the logic used.
